How Work Study Can Benefit You/Your Department:
Federal Work Study has qualified Work-Study students immediately available to work in your department at no cost to you.
There is no cost to your department since work-study salaries are paid through financial aid. Departments simply agree to provide suitable employment and supervision and a work schedule that does not conflict with the student’s classes. Additionally, supervisors must agree to monitor hours worked and certify the student’s time sheet every two weeks.
Students Who Qualify:
In order for students to obtain a work study, they must first be awarded federal work study through FAFSA. When students apply for federal aid they are given the opportunity to earn money while working on campus for departments like yours.
- Students must have financial aid
- Students must qualify for the federal work study program
- If students do not have federal work study they can request it using the FWS request form.
- Students must be in good academic standing
- Students must be taking a minimum of six credits

- If you have already posted a job, please ensure the job posting is up to date for the fall semester.
- Please ensure the job description is thorough and states whether you can hire FWS or non-FWS students.
On-Campus Employment Form/Budget Codes:
- We will still use the online process to hire new and returning students. Here is the link to the form which can be sent to students that are being hired or rehired.
○ If you need more information about the hiring process, please reach out to Louie Aguilera ([email protected]) so we can schedule a meeting and discuss. - If you are looking to hire a student, please ensure you know the budget code you are using. Please email me if this budget code has yet to be added to the online form so I can reach out to payroll and IT to get the budget code added to the online form.
FWS Students:
- FWS students need to be awarded FWS before being hired. Please ensure all student workers have been approved for FWS or met with financial aid before meeting with
career services. - FWS students will NOT be awarded more funds after they have depleted their award as per financial aid.
- Please make sure the student is not working over their designated hours
- The FWS request form is open for students who have not been awarded yet. Here is a link to the request form for students.
Student Requirements:
- Students must be enrolled in at least 6 credits.
- Students must be in good academic standing.
- Students must be eligible to work in the United States.
- International students cannot start working until they have submitted all the required documents and acquired their social security card.
Hours and Rates:
- Starting in the fall semester students are to work a MAX of 20 hours per week.
- Students will start at a pay rate of $15.92 per hour.
- Pay rates higher than $15.92 must be approved.
- If you are looking to have separate pay rates/tiers for your department, they must be approved by the cabinet and brought to the attention of the head of your department.
ADP:
- Questions regarding ADP should be directed to payroll ([email protected])
- Students will be tracking their hours via ADP, we will no longer be using physical time sheets.
Steps to Hire Students:
1. Post job on Handshake.
2. Look through applications on Handshake and choose students to interview.
3. Interview student.
4. Hire student.
5. Send the student to Louie Aguilera in the One-Stop. Louie will ensure the student is
eligible to work on campus.
6. The student will submit an on-campus employment form.
7. Supervisor will complete their portion of the online form via Laserfiche.
8. The student will submit employment verification forms (I-9, W-4, Direct Deposit).
9. Student will complete student agreement and acknowledgment form.
10. You as supervisor will be emailed once the student has completed the new hire
process and can begin to work.
11. Students will receive a link to create an account with ADP from payroll.
12. Student will begin to work and will manage hours via ADP.
